What?
Your receipts sit in a single cloud archive. A receipt you capture on your phone is there when you open your computer. If you edit the same receipt on two devices at once, no change is lost: LA Fish either locks it or warns you.
You turn the archive on: no receipt is permanently written to the cloud without your explicit consent. From the moment you consent, all three apps share the same archive and changes flow live.

How?
🌐 Web Panel
- Turn On the Archive Go to the panel, switch to My Receipts from the left menu. If the archive is off, an Enable Cloud Archive card appears; press the Enable Archive button. This single tap is your explicit consent.
- See Your Receipts The whole archive is listed on the same screen; you can filter by company or search by merchant or receipt number.
- Correct It Click a row to open Receipt Details. The panel locks that receipt in your name; correct the fields and press Save. The lock releases itself once you close the window.
- To Manage Consent Later In the left menu, go to Settings → check or uncheck the Cloud Receipt Archive box on the Permission & Consent Preferences card, then Save Preferences.
🖥️ Desktop
- Open It with Your Account The desktop app opens with your LA Fish account; the sync engine starts on its own right after you sign in. There's no separate "turn on sync" button.
- Keep the Archive On Desktop has no archive toggle — you give consent from the web panel or the mobile app. While consent is off, desktop keeps working fine, but receipts don't go up to the cloud; they wait in the queue.
- Keep Working Desktop is local-first: the list comes from its own database. When you add or correct a receipt, it's sent to the cloud in the background, and changes from other devices come down into your list too. On top of that, a full sync runs every 5 minutes.
- Refresh Manually If you don't want to wait, the 🔄 Update button at the top adds completed jobs from the cloud to your list and processes the pending queue.
📱 Mobile
- Turn On the Archive Switch to My Receipts from the bottom tabs. If the archive is off, an Enable Cloud Archive card appears; tap Enable Archive.
- Capture and Approve Capture the receipt in the Camera tab, approve it in the Review tab. An approved receipt goes to the server and lands in the archive — details: Adding receipts.
- See It from Every Device The My Receipts list is identical to the one on your computer; you can tap a receipt to correct or delete it.
- Manage Consent The Cloud Receipt Archive toggle on the Account tab turns the same permission on and off. The permission is a single one: what you turn on on your phone, you'll see turned on in the panel too.
If you get stuck: If you're thinking "I captured it on my phone, but it's not on my computer," check in order: is archive consent on, have you pressed 🔄 Update on desktop, and are both apps signed in with the same account? The cloud archive is on all plans, the Free tier included.
🔒 If You Open the Same Receipt on Two Devices
Two people (or you and your other device) can touch the same receipt at the same time. LA Fish resolves this with two layers: locking and version control.
- 🌐 Web and 📱 Mobile — take a lock. The moment you open a receipt's details, it's locked in your name. The lock is short-lived (about a minute and a half) and refreshes itself automatically as you keep editing. If the receipt is open on another device, a "🔒 This receipt is currently being edited on Desktop/Web/iPhone" warning appears at the top of the screen and the fields become read-only. Once the other side closes the screen, editing opens up by itself — you don't need to refresh the page.
- 🖥️ Desktop — doesn't apply a lock. Because desktop can also work offline, it isn't subject to locking; version control protects it instead. If another device also changed a receipt while you were correcting it on desktop, your change is applied and a toast appears at the bottom: "A receipt was also changed on another device at the same time; your change was applied."
- If a conflict comes up while saving (web/mobile). If someone else saved while you were editing, the moment you press Save you'll see "⚠️ This receipt changed on another device. The current values have been loaded — check them and press Save again." The window doesn't close; the current values are loaded, you check them, and save again.
- If the receipt was deleted. If the receipt you have open was deleted on another device, a "🗑️ This receipt was deleted on another device." warning appears and saving is closed off.
If you get stuck: If the "being edited on another device" warning seems stuck, don't worry: the lock drops on its own within a few minutes. Closing the receipt's details on the other device, or just waiting a short while, is enough; once the warning clears, the fields become editable again.
📴 If the Connection Drops
- 🖥️ Desktop keeps working Because a copy of your receipts sits on your computer, listing, editing, filtering, and exporting all work offline too. Once the connection returns, the changes that piled up are sent to the cloud. AI-powered reading needs the internet — that job is queued.
- 📱 Capturing receipts on mobile doesn't stop Receipts you capture and approve wait on the phone; a "🔌 Can't reach the server — your approved receipts will be sent once the connection returns" warning shows at the top of the screen. The queue empties on its own once the connection is back.
- 🌐 The web panel doesn't work offline The panel reads everything from the server; without a connection, the list won't load. The page refreshes itself once you're back online.
Why This Way?
Why is explicit consent required? Receipts contain personal data; that's why storing them permanently in the cloud depends on your explicit consent under KVKK. If you don't consent, no receipt is written to the archive; if you withdraw consent, new receipts aren't archived and you can delete the existing ones. Details: Settings and KVKK · Disclosure Notice.
Why both a lock and version control? The lock prevents conflict up front: the moment you open a receipt, other screens become read-only, so no one writes in vain. But a lock alone isn't enough — a device shuts down, the network drops, desktop works offline. That's why every receipt has a version number, and saving checks "is the version I started editing still current?" Without these two layers, whoever saved last would silently erase the other person's correction — and no one would even notice.
Why doesn't desktop follow the lock? Because desktop also works without internet; requiring it to take a lock would stop you from editing a receipt on a plane or on a broken connection. Instead, desktop resolves the conflict when it sends and lets you know — no data is lost.

We're spelling this out specifically because: the cloud archive is a convenience; it doesn't automatically remove your obligations around keeping paper documents. Ask your accountant how long you're required to keep physical documents.
If you get stuck: A receipt coming down from the cloud to desktop may say "No image." This isn't a bug: the receipt's data exists on every device, but its image is subject to your plan's storage quota and isn't always downloaded locally.
