What?
The receipt list is your workbench: you set up the column layout, then open a receipt to correct a field it read wrong. On desktop, a deleted receipt goes to the Deleted tab — and can be restored. Web and mobile keep the list simple, with the same detail window.

How?
🖥️ Desktop — Set Up the List Your Way
1) Column layout. The table's appearance is entirely up to you; every change you make is saved, and the same layout is there the next time you open the program.
- Change the order Grab a column's header and drag it left or right. For example, you can move Total all the way to the left.
- Adjust the width Grab the line between two headers and drag it. Widening the Merchant column is the most useful move for long merchant names.
- Hide or restore a column Click the ⚙️ Settings button on the top bar. The window that opens has a Columns list: uncheck a row to hide that column, or drag the row to change its order. Apply with OK.
- Try grouping Pick a field from the Group (Collapsible) box on the right — the list splits into collapsible groups by that field. Use Expand All and Collapse All to open or close all of them at once.
2) Sorting. Sorting isn't done from the table headers — it's done from the Sort (Multi-Key) box above the table.
- Add a key Click + Add Sort; pick the field from the list on the left (e.g. Date) and the direction on the right: ASC for ascending, DESC for descending.
- Add a second key Click + Add Sort again. The lower key kicks in whenever the one above it ties — e.g., Merchant first, then Date.
- Remove one The ✕ on the right of a row deletes that key; Clear removes them all at once.
- Save the one you use often Attach the filter + sort + search combination to a name with 💾 Save Filter — details in Search and Filtering.
3) Multi-select. Actions like deleting and exporting work on the receipts you've selected.
- Select one by one Click the Select checkbox on the far left of each row.
- Select by dragging Press and hold a row's checkbox and drag up or down — consecutive rows get marked together.
- Select all The Select All button, or clicking the Select column header, marks everything; a second click clears them all. Clear resets the selection.
- Check the counter The 0 selected label to the left of the buttons shows how many receipts you've picked. Check this number before starting an action.
4) Detail window and correction. Reading is never perfect; this is where you fix it.
- Open it Select a receipt and click 🔍 Detail — or double-click the row number on the far left. The window's title becomes Receipt Detail #….
- Compare with the image The fields that were read sit on the left, the receipt's scanned image on the right, side by side. Scroll the image on the right and correct the value on the left.
- Correct the fields Type directly into Date, Merchant, Tax ID (VKN/TCKN), Tax Base, VAT, Total, Category, and others. The Rule field can't be edited — the rule engine fills it in.
- Enter the VAT detail If the receipt has more than one VAT rate, add a separate row for each in the VAT Detail table: + Row, and − Delete Selected for a wrong one. Σ Calculate Total and Fill writes the sum of the rows into the main fields.
- Save Close with Save, or discard your changes with Cancel.
The detail window also shows the receipt's line items (product rows, split into deductible / non-deductible) and its Change History: which field changed, when, and from what to what. You don't need to open the window for a small fix — you can double-click a cell in the list and type directly. Only the Confidence and Rule columns can't be changed by hand.
If you get stuck: if a column has disappeared, it hasn't been deleted — it's been hidden: check it again in ⚙️ Settings → Columns. If you've messed up the column widths, just drag the header edges to fix them — no data is lost.
5) Safe deletion and restoring. Deleting on desktop is a two-step process; nothing is lost at the first step.
- Delete Select the receipts and click 🗑 Delete Selected. The confirmation that appears reads "Move … receipt(s) to the 'Deleted' tab?" — click Yes and the receipts leave the list but keep existing.
- Restore Switch to the 🗑 Deleted tab, select the receipts, and click ↩ Restore. The receipts return to the 📋 Main tab.
- If you really want to delete it The same tab has ✗ Permanent Delete. The confirmation window spells out exactly what will go: the record, the image file, and the change history. The confirmation button is Yes, Delete Permanently — there's no undoing this step.
6) Tabs. The list isn't a single pile; there are four separate views depending on the receipt's status.
| Tab | What's In It | What You Do There |
|---|---|---|
| 📋 Main | Receipts you're working on, not yet exported | Daily work: correcting, selecting, preparing for export |
| ⤴ Exported | Receipts exported or sent to accounting | Looking back; confirming what you sent at month-end |
| 🗑 Deleted | What you've deleted — still here | ↩ Restore or ✗ Permanent Delete |
| 🕒 Pending | The queue of receipts sent to AI | Watching status; pulling results into your list with Get Completed |
While in the 📋 Main tab, a Show Exported Too checkbox appears on the right; check it and exported receipts show up in the main list too. The number next to each tab name is the receipt count in that view. All four tabs are open on every plan — Pending included, since AI reading comes with a monthly allowance on every plan. Receipts land in ⤴ Exported when you export them; exporting is available on Standard and above. What's included in which plan is on the Pricing page.
🌐 Web Panel — A Simple List, the Same Corrections
Go to My Receipts from the left menu in the panel. There's no column layout, multi-select, or tabs here; the receipts in your cloud archive sit in a single table.
- Read the list The table has Date, Merchant, Total, Company, and Source columns. The marks in the Source column: AI/OCR tells you how the receipt was read, 📎 that its image is attached, ✎ that it was corrected by hand, ⚠️ that there's a rule warning.
- Open the receipt Click the row — the Receipt Detail window opens.
- Correct and save Change the Merchant, Date, Receipt No., Tax Base, VAT, Total, Category, and Company / Taxpayer fields and click Save. Write the date as YYYY-MM-DD.
- Work with the image The same window has Add Image / Change Image, and Delete Image below the image.
- Load more The list comes page by page; pull in more with Load More below it.
Deletion works differently here. The Delete button in the detail window asks "Delete this receipt from the archive? Its image will be deleted too." and confirming removes the receipt from the list. The web panel has no Deleted tab and no restore button — make sure you're on the right receipt before deleting. The restore button exists only in the desktop app's own list.
📱 Mobile — The List in Your Pocket
Mobile also has no column layout, multi-select, or tabs; the list comes as card rows, with the most recently added one on top.
- Find the receipt Type a merchant name or receipt number into the search box on the My Receipts screen and tap Search. You can also filter to a single company's receipts by tapping one of the company chips at the top (All shows everything).
- Open it Tap the row — Receipt Detail opens; the receipt's image at the top, the fields below.
- Correct it Fill in Merchant, Date (YYYY-MM-DD), Receipt No., Tax Base, VAT, Total, Category; pick the company from the chips below.
- Save Tap Save. If the button reads Locked, the same receipt is open on another device — close it there, then try again.
- Delete Delete Receipt works the same way as in the web panel: the receipt leaves the archive, its image is deleted too, and there's no restore button.
Mobile also has Delete Image: the receipt's data stays, only its photo goes — a quick way to free up storage. See Storage Quota.
Why This Way?
Why two-step deletion? Receipts are deleted by multi-select, not one at a time, and it's very easy to select the wrong ones. That's why Delete on desktop is a trash can, not incineration: the receipt moves to 🗑 Deleted, where it can be restored. Actually destroying it takes a separate button and a separate confirmation — because that step also takes the image file and the change history with it.
Why do we save your column layout? Everyone looks at something different: one person watches the license plate, another the category, another just the total. Setting up your layout once and seeing the same table every time you open the app saves real time when you're moving through hundreds of rows at month-end.
Why does a receipt sometimes come up "locked"? If you edit the same receipt on two devices at once, one overwrites what the other wrote. That's why opening a receipt takes out a short-lived editing lock. If another device changed the receipt in the meantime, the current values are loaded and a warning appears when you try to save — so you can check before overwriting. Details: Cloud Archive and Multiple Devices.
If you get stuck: if you can't find a receipt in the list, it might not be deleted. Check in order: if it was exported, it's in the ⤴ Exported tab (or check Show Exported Too in the Main tab); if deleted, it's in 🗑 Deleted; if it hasn't come back from AI yet, it's in 🕒 Pending. A filter or search might also be left on — follow the Clear steps on the Search and Filtering page. If it's still nowhere to be found, see Troubleshooting.
