What?
You captured the receipt — here's what happens next: local reading finishes instantly on your device. Reading with AI enters a cloud queue instead — you don't wait; you pull the result into your list once the job is done. If the same receipt is entered a second time, the system catches it.
| Reading Path | Where It Runs | Is There a Queue | Does It Cost a Credit |
|---|---|---|---|
| Local reading | On your own device — OCR on desktop, camera text on the phone | No, the result is instant | No |
| Reading with AI | In the cloud, in order | Yes — the job enters a queue | Yes, it costs an AI credit |
In other words, the queue only exists on the AI path. With local reading, the receipt's fields land in your list the moment reading finishes — there's nothing to wait for. AI reading comes with a monthly allowance on every plan: 10 documents on Free, 100 on Standard, 1,000 on Premium and 5,000 on Premium Office. Which plan includes which rights is on the Pricing page.
How?
🖥️ Desktop
- Bring in the receipt Select images with 📷 Add from Image or ⬇️ Import from Device — details on the Adding a Receipt page.
- Answer "How should it be read?" Since AI comes with a monthly allowance on every plan, the program asks: 🤖 AI (cloud queue, interprets fields in context, costs a credit) or 📷 Local OCR (on-device, free, instant). If you click Cancel, the scans stop but aren't lost — you can process them later. If your monthly allowance has run out, choosing AI shows a warning saying so; you can keep reading the same receipts with Local OCR.
- If you chose Local OCR, you're done The receipts are read and a results screen appears: how many were added, how many were already on file, how many couldn't be processed.
- If you chose AI, it enters the queue You'll see the message "N receipts queued. As they're processed, add them to your list with '🔄 Refresh.'" You can close the window; the job keeps running in the cloud.
- Watch the queue The 🕒 Pending tab lists every job individually. The number in parentheses on the tab title and on the 🔄 button is the count of pending jobs.
- Pull down the results Click 🔄 Refresh — completed receipts land in your list: "N receipts added, M duplicates skipped". The Get Completed button on the Pending tab does the same thing.
- Correct fields by hand Select the row and open it with 🔍 Detail; correct fields like merchant, date, receipt no., tax base, VAT, and total, then save. The receipt's scanned image sits right there in the detail view too, so you can compare them side by side.
- Filter the uncertain ones Check the ⚠ Low-Confidence Only box at the top: only receipts with a confidence score under 60% or a missing key field like date, total, or tax ID remain. Review those first.
The table on the Pending tab lists Status · Lane · Wait · Processing · Total · Created for every job. What the statuses mean:
| Status | What It Means | What to Do |
|---|---|---|
| Queued | Entered the queue, hasn't started | Wait |
| Processing | Being read | Wait |
| Completed (pending) | Read, hasn't landed in your list yet | 🔄 Refresh |
| Received | Result landed in your list | None — the receipt is in your list |
| Error | Couldn't be read | Recapture more clearly and resend |
The Lane column tells you which path the job took: a small number of receipts goes through the Fast lane, a large number through the Bulk lane. The Bulk lane waits a little longer but handles a lot of work at once.
If you get stuck: even if you forget to click 🔄 Refresh, the desktop app quietly checks in the background once a minute while it's open; completed receipts drop in on their own. The button just does it right now. If they still don't show up, check whether the status on the Pending tab says "Queued" or "Error."
🌐 Web Panel
- Watch the queue Open the Jobs page from the left menu in the panel. The Queue Status card summarizes at the top how many jobs are queued, processing, completed and pending, and errored; the table below lists the jobs individually.
- Refresh The page refreshes itself while it's open; click Refresh if you don't want to wait.
- Check the note The Note column in the table shows how many fields were found if the job finished, or the error text if it failed.
- Correct fields by hand In this panel, correction happens on the My Receipts page: click the receipt, correct the merchant/date/receipt no./tax base/VAT/total/category fields in the Receipt Detail window, and click Save.
Receipts aren't read in the web panel. The Jobs page here is for monitoring only — sending jobs to the queue and pulling completed ones into the list is done on desktop and mobile. The receipts you see in the web panel come from the cloud archive.
📱 Mobile
- Receipts you capture wait in Review Every receipt captured in the Camera tab drops into the Review tab. The badge on the tab is the number of pending receipts.
- Approve and send Tap Upload and Read — the number in parentheses tells you how many receipts will be sent. If you turn on the Auto-Send switch, receipts go out without waiting for your approval (and cost a credit); while it's off, they wait in the list.
- If your allowance runs out, receipts wait AI comes with a monthly allowance on every plan. When it runs out, the app warns "AI Allowance Used Up"; receipts that couldn't be sent wait in the queue and aren't lost. Your allowance renews with the new period (the next day if you're on the trial), and on paid plans you can also buy an extra AI package. Reading e-Arşiv and e-Fatura receipts with a QR code in the QR Code mode on the Camera screen, on the other hand, doesn't use any allowance.
- Pull the results Results arrive on their own; tap ↻ Results if you don't want to wait. The "N receipts being read…" line at the top tells you how many are still being processed.
- Read the row badges Each receipt shows its status: reading, read, already added. A receipt with low confidence shows a ⚠ low confidence — rescan warning.
- Retry the failed ones If any receipt errored out, a ↻ Retry Failed bar appears; one tap resends all of them. To retry just one row, its own ↻ Retry is enough.
- Fix the crop, then retry Tap the receipt's thumbnail, use Edit Area to bring the frame over the receipt, and tap Save. If you cropped it wrong, Show All undoes it. Cutting out the background on a receipt that errored often saves the second attempt.
- Correct fields by hand Once reading is done, correction happens on the My Receipts tab: tap the receipt, correct the merchant/date/receipt no./tax base/VAT/total/category fields, and tap Save.
- Tidy up the list Clear Read Items removes finished receipts from the queue (the receipts stay in the archive). Clear Queue deletes everything.
If you get stuck: if you remove a receipt from the queue with ✕ while its job hasn't started yet, it's canceled and your AI credit is refunded; if reading has already started, it isn't refunded, and the app tells you so clearly. If your phone is offline, a "🔌 Cannot reach the server" banner appears — receipts you've approved are sent automatically once the connection returns, so there's no need to recapture them.
⊘ Duplicate Receipt Warning (Same in All Three Products)
Adding the same receipt twice is a very ordinary slip: you capture it with your phone, then also put the paper through the scanner. The system catches this in three separate ways:
- Same image If you resend an image that's already sitting in the queue, no new job opens, and your credit isn't spent a second time. Desktop shows this as "duplicate skipped," mobile as "already added" in the row badge.
- ETTN in the QR code The QR code on e-Arşiv/e-Fatura receipts carries a universally unique document number called the ETTN. If both records have an ETTN and they match, the two are definitely the same document — they'll match even if one was entered by QR code and the other by reading.
- Receipt signature If there's no ETTN, the combination of date + receipt no. + tax ID + total is checked instead. If that same combination was already added, no second record is created.
The reverse is also protected: if you made two separate purchases on the same day, at the same store, for the same amount, and their ETTNs differ, they aren't treated as duplicates — both stay in your list.
On mobile, duplicate rows look like "errors" but aren't; that's why ↻ Retry Failed leaves them alone — resending them would just waste a credit. Use the Remove … already-added receipts from list bar to clear them all at once.
Separately from all this, if a receipt carries the words "e-Arşiv," "e-Fatura," or "ETTN" after reading, desktop opens the e-Arşiv / e-Fatura — Exclude window and asks you which ones to remove from the list. Nothing is deleted on its own; anything you remove can still be restored from the 🗑 Deleted tab.

Why This Way?
Why is there a queue? AI reading doesn't run on your device, it runs in the cloud. Instead of the app freezing twenty times and making you wait when you send twenty receipts, the jobs line up while you get on with something else. The queue also keeps things fair: everyone's jobs move forward in order, and no one cuts in line.
Why is "Refresh" a separate button? So that you decide when results land in your list. New rows dropping in unannounced at the bottom of your list is annoying while you're in the middle of an end-of-month routine. Still, in case you forget, the app quietly checks in the background — the button just means "get them now."
Why is ETTN checked first? The ETTN is specific to the document and unique. A receipt number varies by store, and the date and total can coincide by chance; the ETTN can't. That's why it's first in line for the duplicate check, and it never raises a false alarm.
Why is manual correction always available? No reading path is perfect: faded print, wrinkled paper, and bad lighting all corrupt fields. That's why the program gives every receipt a confidence score and flags the low ones — but you're the one who corrects them. Skip it, and a wrong amount carries straight through to your exports and reports.
If you get stuck: if you're seeing "receipts are in the queue but not moving at all," check in order: do you have an internet connection, do you have AI credits left on your plan (Membership and Payment), and what does the status say on the Pending tab. If everything checks out, move on to the Troubleshooting page.
