What?

Search finds the word you type into a single box. A filter builds a condition: "date between these two days and total over 500." On desktop, you can save a filter under a name and recall it with a single click.

All three apps look at the same archive, but the search tools aren't equally deep. Desktop does the heavy lifting; the web panel and mobile handle the "find that one merchant" job.

How?

How the search and filter axes progressively narrow scopeA five-row narrowing chain. From top to bottom, four axes narrow the scope: Person/Organization selection, tab, the Search box, and Filters. The person/organization, tab, search, and filter axes narrow the scope step by step; sorting and grouping, meanwhile, only set the order without changing which records remain.

🖥️ Desktop — Search, Filter, Sort

On desktop, above the list screen you'll find, in order: the tabs, the Search: box, and below it three boxes — Filters, Sort, Group.

  1. Choose the person/organization first The Person/Organization: list at the very top sits above everything else; the list, adding, and export all follow whichever one is selected. A search can look empty when the wrong client is selected — see Company / Taxpayer.
  2. Type into the Search: box for a quick search The box searches every field at once: merchant, receipt no., tax ID, amounts, category, license plate, note. The matched part is shown in bold in the list. It ignores Turkish letter case differences (typing sisli finds Şişli), and you can search a date as either 2026-09-01 or 01.09.2026.
  3. Click + Add Filter to build a condition Each row has three parts: field + operator + value. The field list includes Date, Time, Receipt No., Merchant, Tax ID (VKN/TCKN), Tax Base, VAT%, VAT, Total, Currency, Payment, Category, License Plate, Rule, Confidence, and Note.
  4. The field determines the operator Text fields offer =, ≠, contains, and in (comma-separated); number and date fields also add >, <, ≥, ≤, and between (min,max). The operator list refreshes itself when you change the field.
  5. There's no Apply button — it's automatic The box's title already says Filters (Applied Automatically): the list filters the instant you type. Use the ✕ on the right to remove a row, or Clear to remove them all.
  6. Sort Pick a field with + Add Sort, and set the direction to ASC (ascending) or DESC (descending). You can add more than one row: the key on top applies first, and the one below kicks in on a tie.
  7. Group if you need to Pick a single field from the Group box; the list splits into collapsible headers. Amount and confidence are grouped into ranges, date by month. Use Expand All / Collapse All to open or close all of them at once.
  8. Ready-made filters The Show Exported Too checkbox on the tab row folds previously exported receipts back into the main list. ⚠ Low-Confidence Only filters down to receipts with a low confidence score, or a missing key field like date, total, or tax ID — the fastest path to a review pass.   9. Be in the right tab The list is split into four tabs: 📋 Main, ⤴ Exported, 🗑 Deleted, 🕒 Pending. Search and filters operate within the tab you're in.

If you get stuck: if the list is showing fewer records than you expect, check the Filters box first — a forgotten row, or a saved filter showing as highlighted on the top bar, might be narrowing the list. Click the highlighted button again to clear it. Then make sure the Search: box is empty and you're in the right tab.

🖥️ Desktop — Saved Filters and Shortcuts

You don't have to rebuild the same filter by hand every month. You attach the filter + sort + search trio to a name, and it sits as a button at the right end of the top bar.

  1. Build the combination Type your search, add filter rows, set the sort.
  2. Save Click the 💾 Save Filter button on the top bar. It asks you to "name this filter + sort + search combination"; type a short name (for example, Fuel – this month).
  3. Recall it with one click The name you saved becomes a button at the right end of the top bar. Click it to apply it, and the button lights up; click the same button again and the filters clear. So the same button both turns it on and off.
  4. Manage it Right-click the button: Apply, Overwrite (with the current filter+sort+search), Rename, Delete. Press and hold the button and you go straight to a delete confirmation.
  5. If you reuse a name Reusing an existing name asks whether to overwrite it — this is the quickest way to update your filter.

Column visibility and widths, filters, sorting, search, and saved filters all persist even after you close the app; you pick up right where you left off the next time you open it. You edit columns from the ⚙️ Settings button.

If you get stuck: clicking a column header does not sort the list — sorting is done from the Sort box. (Clicking the Select header, on the other hand, selects every row, and clicking it again deselects them.)

🌐 Web Panel — The My Receipts Screen

Search is kept simple in the web panel: one text box and two dates.

  1. Choose the company Pick which archive you're looking at from the Company / Taxpayer list at the top. The archive is separated by company.
  2. Search Type a merchant name or receipt number into the Search (merchant / receipt no.) box. This box only looks at these two fields; it doesn't search by amount or note.
  3. Give a date range Fill in the Start and End fields. You don't have to fill in both; just one works too.
  4. Apply Click the Filter button. Unlike desktop, it's not applied automatically here — you have to click the button. Click Clear to reset everything.
  5. Bring in more The list comes page by page; pull in more with the Load More button below it.

📱 Mobile — The My Receipts Tab

  1. Choose the company Just like on desktop and the web panel, first decide which company's archive you're looking at.
  2. Search Type into the Search merchant / receipt no. box, then tap the Search button or the search key on your keyboard.
  3. Read the result How many receipts were found appears at the top of the list. You can dump the result to a file with Export (on Standard and above). In Premium Office you can also send it with Send to Accounting; if your plan isn't Premium Office, this button doesn't appear.

There's no date range, amount filter, sorting, or saved filters on mobile — those are done on desktop. The mobile app's job is capturing receipts fast and giving the archive a quick glance; see Adding a Receipt.

Why This Way?

Why two separate tools? Search and filtering answer different questions. "Where's that receipt I got from the grocery store?" is a search question — you type, you find it, you're done. "This month's fuel receipts, paid in cash, over 500" is a filter question: multiple conditions, and a job that repeats every month. A search box can't express that; filter rows can.

Why saved filters? Because building the same filter once a month means risking forgetting a condition every single time. Set it up once and attach it to a name, and next month you get the same result with one click — and you're sure it's the same result.

Why does the filter matter this much? Because a filter doesn't just change what's on screen. Export and Send to Accounting both operate on whatever is filtered at that moment. In other words, the filter is where you decide what leaves the app. Getting into the habit of checking the record count at the top of the list before exporting prevents the most expensive mistakes.

Why are there fewer options on web and mobile? Building a ten-row filter isn't practical on a small screen. So only the two most commonly used axes — merchant/receipt no. and date — were kept there; the fine-tuning was put where the keyboard is: on desktop.

If you get stuck: if a receipt isn't showing up anywhere, check three things in order: 1) is the right person/organization or company selected, 2) might the receipt have moved to the ⤴ Exported tab because it was already exported, 3) might it have been deleted — it can be restored from the 🗑 Deleted tab.
