What?
You work separately for multiple people or organizations in the same account. When you change the selector at the top, the list, search, reports, and exports are all filtered by that record; receipts never mix.
We're talking about the same concept everywhere in the product, but its name changes slightly depending on which app you're in. Here's what you'll see on screen:
| Where | On-Screen Name | Where It's Stored |
|---|---|---|
| 🖥️ Desktop | The Individual/Organization: selector in the top bar, next to 👥 Manage and ↪️ Move | On your computer; the name is synced to the cloud |
| 🌐 Web panel | The Company / Taxpayer list and Manage Companies on the My Receipts screen | In the cloud archive |
| 📱 Mobile | The Company / Taxpayer chips and Manage above the My Receipts screen | In the cloud archive |
How many separate individuals/organizations you can keep depends on your plan: 1 on Free, 3 on Standard, and unlimited on Premium and Premium Office. Check the Pricing page for current numbers. Because the list on the web panel and mobile is part of the cloud archive, it only shows up there once the cloud archive is turned on.
How?
🖥️ Desktop
On desktop, this separation goes by the name Individual/Organization and always sits at the top of the screen — so you can see which client you're working on at a glance. Organizations are listed with the 🏢 icon, individuals with 👤.
- Open a New Record Press the 👥 Manage button in the top bar; the Individual / Organization Management window opens. Click New, fill in the form on the right, and press Save.
- Enter the Type and Name In the Type field, choose Organization or Individual. Only Name / Title is required; leave it blank and the record won't be created.
- Switch Between Them Close the window and pick the record you want to work on from the Individual/Organization: list at the top. The list instantly reloads for that record, and any receipts you add from now on land there too.
- Set the Default In the management window, select a record and click Set as Default. The app starts with this record every time it opens.
- Move Receipts That Landed in the Wrong Place Check the receipts in the list, press the ↪️ Move button at the top, and choose the destination individual/organization. Records that already exist at the destination are skipped, so no duplicates are created.
What fields are on the card?
Name / Title, Tax ID / National ID (VKN/TCKN), Tax Office, Address, City, Phone, Email, and Notes. Everything except the name is optional; you keep them for your own records. This detailed card is stored only on that computer — as the note under the window also says, it isn't sent to the server. Only the name is synced to the cloud.
If you get stuck: If you try to delete an individual/organization that has receipts in it, the app first asks "This individual/organization has … receipt(s). They'll be moved before deleting" and transfers the receipts to the destination you choose — receipts are never deleted. The last record in the list can never be deleted; at least one must always remain.
🌐 Web Panel
In the panel, this separation goes by Company / Taxpayer and sits in the card at the very top of the My Receipts screen.
- Filter the List Choose one from the Company / Taxpayer dropdown. Each row shows the receipt count next to the name; the default one is marked (default). To see them all at once, choose All Companies.
- Add a New Company Press the Manage Companies button. In the window that opens, type the name into the New company / taxpayer name box at the bottom and press Add.
- Fix the Name In the same window, edit the name box on that row and click outside it; the change is saved immediately.
- Change the Default / Delete Use the Set as Default or Delete button on that row.
- Move a Receipt to Another Company Click a receipt in the list to open its details, choose the new one from the Company / Taxpayer field, and save.
- Filter What You Export The Export and Send to Accounting buttons use whatever company and filter are currently selected — you export exactly what you see.
If you get stuck: If Send to Accounting says "Select a company first to send," All Companies is selected in the list. This is a deliberate safeguard: sending only works while a single company is selected, so different clients' receipts can't get mixed into one submission. Details: Sending to accounting.
📱 Mobile
On the phone, the same list sits above the My Receipts screen as horizontal chips: All plus one chip per company. Each chip shows the receipt count next to the name, and a ★ marks the default one.
- Tap a Chip to Filter The chip you pick instantly narrows the list to that company; search and export follow the same selection.
- Manage Tap the Manage link in the top-right corner of the card; the Manage Companies window opens. From here you fix names, set a default, delete one, and add a new one from the New company / taxpayer name box at the bottom.
- Put the Receipt You Captured in the Right Place Receipts you capture with the camera land under the default company. If one belongs to a different client, open its details and pick the right one from the Company / Taxpayer chips.
Why doesn't it ask during capture on mobile? Because capturing a receipt takes a second; asking for the client on every shot would break the flow. The app leaves the receipt on the default and pushes the separation to later — at month-end closing or while correcting the receipt.
Why This Way?
For an accountant, the most expensive mistake is mixing up two clients' receipts. A mixed-up receipt is hard to spot, and the result is a wrong entry and a correction job. That's why this separation isn't a label bolted onto the side of the app: the individual/organization you select filters the list, the search, the reports, and the export together. What you see on screen is what you export.
The same logic applies to deletion: a record that holds receipts can't be deleted until they're moved out first. That way you never lose a receipt silently while deleting an individual/organization. At least one record always remains; every receipt has an owner.
This separation is useful even if you're not an accountant: you can keep your personal expenses and your company's separate, or run two different businesses in the same account but in separate ledgers.
ℹ️ Important: This information is for informational purposes only and does not replace professional accounting advice. Regulations and amounts change, and outcomes vary depending on the taxpayer's specific situation. Consult your certified public accountant (SMMM/YMM) for definitive guidance. LA Fish does not make decisions — it only flags.
If you get stuck: The individual/organization on desktop and the company in the cloud are matched by name. If you type the same client as "Smith Bros." on one device and "Smith Bros. Ltd." on another, you'll end up with two separate records and your receipts split between them. Decide on a name once and use it exactly the same way everywhere.
