The report is calculated from the receipt list on this computer using the scope you choose: the five ready-made tabs answer the most common questions, while the Custom Report answers a question you build yourself; the output goes to Excel.

Reports summarize the receipts in your list by month, category, merchant, and VAT rate and export them to a chart-based Excel file. With Custom Report you choose your own grouping and totals. Available only in the desktop app, on all plans.

The report window consists of five ready-made summary tabs plus a section where you build your own Custom Report. All of them work with the same filter: whichever people/companies and date range you select, every tab shows that.

At the bottom of the window sits a single-line summary of your chosen scope: total receipt count, tax base, VAT, and grand total.

How?

🖥️ Desktop — ready-made summaries

  1. Open Reports Press the 📊 Reports button on the top button bar. Reports are open on all plans; if you still see a 🔒 in front of the button, see the "If you get stuck" box below.
  2. Choose the scope Check the ones you want from the Person/Company list at the top left; the All and Clear buttons do bulk selection. If you want to look at a specific period, check the Date range box and enter two dates.
  3. Apply Until you press Apply, the tables show the old scope. When you press it, all five tabs are recalculated at once.
  4. Move between tabs Monthly, Category, Merchant, VAT, and Exported are different cuts of the same scope.
  5. Export to Excel The Export to Excel button writes an .xlsx file: totals on the Summary sheet, then each tab on its own sheet. A column chart of the monthly totals is also added to the Monthly sheet.

🖥️ Desktop — Custom Report

If the five ready-made summaries don't answer your question, you build the report yourself. The 🧩 Custom Report button at the bottom of the report window opens a separate window; choices on the left, a live preview on the right.

  1. Filter The Filter box has person/company, date, category (multiple, comma-separated), payment type, part of the merchant name, and an amount lower–upper bound. There are also three checkboxes: Exclude card slips (checked by default), Only receipts with non-deductible items, and Only exported.
  2. Group Choose a breakdown from the Group box: Category, Merchant, Payment type, License plate, Rule status, Day, Month, Year, Person/Company — or None (grand total) for a single-line total.
  3. Check the metrics From the Metrics (columns) list you choose which totals you'll see. The Add 'Share %' column checkbox writes each row's share of the grand total as a separate column.
  4. Sort and trim In the Sort / Limit row you give the sort metric, the Descending/Ascending direction, and the Top … count; leave it at All and there's no trimming.
  5. Generate The Generate Report button fills the table on the right. The GRAND TOTAL row at the very bottom is independent of grouping and the Top … trim — it covers every receipt that passed the filter.
  6. Save as a template In the Template row at the top, give it a name with Save…; bring the same report back every month with a single press of Load. Delete removes the template.
  7. Export to Excel The Export to Excel button writes a Custom Report sheet; it also puts a summary of the filter you applied at the top. If you chose a grouping, a Chart sheet is added as well.

If you get stuck: Reports are open on every plan, Free included. If the 📊 Reports button still looks locked, or clicking it shows an upgrade message, the program may not have been able to refresh your plan information: check that you're online and signed in to your account, then restart the program. 🌐 Web panel

There's no expense report in the web panel — it's done on desktop. The panel's Overview and Remaining Allowance screens show the status of your account (plan, remaining allowance, transactions); they're not an expense–VAT summary of your receipts. The panel's My Receipts screen is for viewing your archive, see Cloud archive and multiple devices.

📱 Mobile

There's no report on mobile. The phone is for capturing, reading, and reviewing receipts; totaling and reporting is done on desktop. Receipts you capture with your phone go to the cloud, and once they land in your desktop list they're included in the report too.

Why is it like this?

Why do you need a report? Reading receipts one by one only collects data; the questions you look for answers to at month's end are about totals: how much did you spend this month, what's the VAT breakdown by rate, where was the most paid, what changed compared to last month. The report generates these answers from the raw records in your list — without manually exporting to Excel and writing formulas.

Why scope first, then report? A number's meaning depends on its scope. If you're looking at multiple clients, a total produced without a person/company selection is useless to anyone. That's why the filter sits at the top and Apply is a separate step: it reduces the risk of reading the report with an accidentally incomplete or mixed scope.

Why also a Custom Report? The five ready-made summaries cover the most common questions, but everyone's setup is different: some pull fuel expense by license plate, some split cash vs. card by payment type, some only total "non-deductible" items. Custom Report leaves these three choices — what to filter, what to group by, which totals to see — up to you, and saves your choice as a template.

Why desktop only? The report scans and groups the entire receipt database on that computer; reading the result also needs a wide table. This work needs a keyboard and a large screen — on a phone, neither the data to compute nor the space to show it is enough.

If you get stuck: If the report comes out lower than you expect, check three things: (1) if Date range is checked, the default range is the last 12 months, and the period you're after may be outside it; (2) some entries in the person/company list may be left unchecked; (3) in Custom Report, Exclude card slips is checked by default — card slips don't count toward totals. If the report comes back completely empty, there's probably no receipt at all in that scope; first confirm with search and filtering that there are receipts in the list.

If you get stuck: The report is calculated from the list on that computer. Receipts captured on another device won't be included if they haven't landed on this computer yet — first make sure the sync has finished (Cloud archive and multiple devices). If Excel can't be saved, a file with the same name may be open: close the file or give it a different name.
