What?
Your receipts' data is stored without limit; the quota only applies to images. When the quota fills up, the receipt is still saved — only its picture isn't stored. To free up space, you delete images or, if you're on a paid plan, get the monthly 5 GB storage subscription.
Two separate things sit in the cloud archive: the receipt's fields (merchant, date, tax base, VAT, total, line items) and the receipt's image. The fields are a few lines of text, cheap — we don't count them. The image, on the other hand, is large, sits encrypted on the server, and consumes your quota. Documents you upload to Smart Home Memory (warranty certificates, insurance policies, invoice files and the like) are encrypted files too and count toward the same quota.

The size of your quota depends on your membership plan: every plan comes with a base quota. The quota indicator already shows your own number as "used / total"; you can check the Pricing page for what each plan covers.

How?
🌐 Web Panel
- Find the Indicator Go to My Receipts from the left menu. The card at the top shows the Image Archive heading, used / total next to it, and Remaining Space underneath. The colored bar shows how full it is.
- Read the Color The bar is normally green; it turns orange as the archive nears full, red when it's almost full, and a warning banner appears above it.
- Delete a Single Image Open a receipt from the list; the Delete Image button under the image deletes only the picture — the receipt's fields stay in place.
- Turn On Auto-Delete Check the Automatically delete the oldest images when the quota is full (receipt data is preserved) box on the same card. From then on, whenever a new image needs space, the system frees it up by deleting the oldest images.
- Get a Storage Subscription The Get Storage Plan button on the warning banner takes you to the Payment tab. The Storage Plan Subscription card there has the 5 GB Storage subscription; click Subscribe. The subscription makes your quota 5 GB right away.
- Cancel or Undo The status box at the top of the card has Cancel Subscription. Once you've canceled, Undo Cancellation appears in the same spot.
If you get stuck: If the buttons on the storage card say Subscribers Only and stay disabled, it means you can't get a storage subscription yet: it requires an active Standard, Premium, or Premium Office membership. It isn't available on the Free tier, and the free trial doesn't count. See Membership and payment.
📱 Mobile
- Find the Indicator Switch to the My Receipts tab from the bottom menu. The Image Archive card shows the full/empty bar, used/total, and Remaining space.
- Delete a Single Image Tap a receipt to open its details, then press Delete Image under the image. The receipt itself stays in the list.
- Turn On Auto-Delete Turn on the Automatically delete the oldest images when the quota is full (receipt data is preserved) toggle on the same card.
- Get a Storage Subscription The Storage Subscription (monthly) section under the card has a 5 GB Storage button; the price is set by the store. The same section is also on the Account tab.
- Cancellation Happens in the Store You can't cancel a storage subscription you bought on mobile from within the app; you manage it from your phone's App Store or Google Play subscription settings. The app also states this under the card.
If you get stuck: Don't try to buy another storage subscription from the web panel while the one from your phone is still active — the system warns you and blocks it, because you'd be paying twice from two separate places. Cancel from the store first, then buy from the web.
🖥️ Desktop
The desktop app has no quota indicator or storage subscription. To see your quota, turn on auto-delete, or get storage, you use the web panel or the mobile app.
But keep this in mind: images of receipts you send with 🤖 Read with AI from desktop land in the cloud archive and use your quota. Files you read locally on your computer with 📷 Add with Image, on the other hand, stay on your disk and don't count against the quota.
What Happens When the Quota Fills Up?
- Your Receipt Isn't Lost Reading finishes normally and the receipt is written to the archive; only its image isn't stored. The app notifies you that "the receipt was saved but its image couldn't be stored."
- If Auto-Delete Is Off, You Choose If you try to manually upload an image to a receipt in the web panel, an Your archive image quota is full window opens and offers you the Auto-Delete and Upload option.
- If Auto-Delete Is On, the System Makes Room Starting from the oldest image, it deletes just enough to fit the new one. The receipt data of deleted images is preserved.
- If Not Even a Single Image Fits No amount of deleting would help; the system won't delete old images for nothing, and it rejects the upload. In this case, you need a larger quota.
- When Uploading a Document If the quota is full, the document isn't added and a Your storage is full warning appears. Even with auto-delete on, your receipt images are never deleted to make room for a document; you decide what to remove. Pruning when the quota shrinks (e.g. when a storage subscription ends) also touches only receipt images, never your documents.
What Happens When You Cancel Your Storage Subscription?
A storage subscription replaces your quota, it doesn't add to it. If you subscribe to 5 GB storage, your quota becomes 5 GB — not your plan's base plus 5 GB. If you end the subscription, the quota goes back to your plan's base.

The rule is the same in every case: receipt data is preserved, only the image goes. A deleted image can't be brought back.

Deleting an image is permanent and can have consequences for your document-retention obligations. Ask your accountant before deciding how long you need to keep the image of a given document; the app doesn't make this decision for you.
Why This Way?
Why is data unlimited but files have a quota? A receipt's fields are a few lines of text — thousands of them take up almost no space. A photo, on the other hand, is thousands of times larger. Instead of lumping the two together and saying "this many receipts," we leave the cheap one unlimited and only measure the expensive one. That way, even if your quota runs out, your records never stop; the data you'll send to accounting at month-end is always intact.
Why does the subscription replace the quota instead of adding to it? In an additive model, your quota would be "your plan's base + the storage you bought"; changing your membership plan would then shift your storage space without warning. In a replacement model, there's a single number: whatever you bought is your quota.
Why delete oldest-first? Because the oldest images usually belong to periods whose filing is long done and settled. If deleting has to start somewhere, starting where you'll need it least does the least harm.
Why isn't anything deleted immediately on cancellation? The space is yours for the period you paid for. Deletion happens only once the period truly ends — until then, you can download whatever you want and clean up whatever you want.
If you get stuck: If the indicator says "your archive is over your quota," there's no need to panic; this usually shows up when your membership plan drops or a storage subscription ends. You have three ways out: delete old images, turn on auto-delete, or, if you're on a paid plan, get the 5 GB storage subscription. In the meantime, images of newly arriving receipts may not be stored — the receipts themselves are still saved. If something else is going wrong, see Troubleshooting.
